We are hoping to get this in a text file for those that cannot open pdf files. You can also read a posted copy in the Capitol Theater lobby, we hope that this gives clarification.

Dear volunteers, community members and patrons of the Olympia Film Society,

This letter from the OFS Board of Directors is in response to the August 26th, 2007 letter to the Board from a group of OFS volunteers, expressing concern about the process of termination of Jeffrey Bartone. We appreciate the attendance at last Saturday's meeting, the openness in communication and ability to dialogue respectfully and clearly about really difficult issues.

First of all we would like to say that the collective volunteer hours, efforts, and passions that you all and other OFS volunteers have poured into OFS over the years are invaluable. OFS' volunteers are its heartbeat and foundation, and have made OFS the wonderful, diverse, and creative place that it is. Also, thank you for recognizing our volunteer contribution to OFS.

You request in your letter that the decision to terminate Jeffrey be revoked, and a re-vote be taken. The OFS Board, including the new members (a total of eight members), has reviewed the request and has not consented to revote on this decision. After much discussion the general feeling of the Board is that we should move forward with the existing decision and try to work toward a better future for OFS. The Staff collective also supports moving forward with the existing decision.

We continue to believe the decision was made with the best interests of OFS in mind, and we want to move now toward healing, improved communication, inclusion, better understanding, and operating the theater. We would like to hear your ideas and thoughts about how we can improve communications and relations with volunteers (or any other aspects of running our unique organization). At the upcoming September 11th Board meeting*, there will be a section of the agenda for input and discussion about Volunteers communications. (Note, Board meetings are now held on the 2nd Tuesday of each month,. 5:30 p.m.).

Board members have been conscious of and concerned by the need to bring more members into the Board. We know this will make us work more effectively and alleviate certain burnout. Over the last year the Board has made concerted efforts to increase it's membership. Individual Board members have made public announcements before large events, we have signs posted in the theater, Board meeting s are consistently scheduled (now on the 2nd Tuesday of the month) and in an accessible location. Meetings have been shortened by a more efficient process, announcements including meeting agendas are emailed, and Board members have invited volunteers and OFS members to join. Our efforts have paid off and have added 4 new members just in the last couple months! We can always do more. We welcome your suggestions of how to bring more energy into the Board.

You have also expressed concern about what is going to happen at the theater to cover Jeff's duties. A hiring committee is being formed now. The first job of the hiring committee will be to review the job description (standard part of the OFS hiring process) to make any changes, clarifications, or shifts in duties that would be beneficial. Several experienced community members have stepped in to evaluate the technical aspects of our presentations equipment (audio and visual) to familiarize themselves with the theater systems, and to be available for repairs if needed.

We are working to fill volunteers projection shifts and hope very much that some of you will want to come back as projectionists. The Board and Staff of OFS want to let all volunteers know they are very welcome at the theater, and encourage their continued participation regardless of what their position is on this matter. All volunteers still are and will always be welcome.

We also want to state that the termination of Jeff is not intended to hearken a general shift in OFS' philosophy or tone. OFS' signature diversity and inclusiveness of all sorts of people and passions is very important to the identity of this organization and we have no desire to change that. We do want to find ways to improve and preserve our income so that we can keep the doors open for a long time. But, in doing so we don't want to make OFS an un-fun place to be for its members and volunteers. We hope we can balance all of these things and would invite the assistance of anyone who has ideas about how to do so.

Finally (for now), we hope that this letter is not the end of our communication with you and other concerned members of the OFS community. We need input, ideas and action from all of you to keep our beautiful and eclectic organization alive and thriving.

Curious

Finally, I see the Board members' names which were not previously available on the OFS website, the Daily O article, anywhere I could find (short of seeking out a printed schedule). I would like to know which 5 were on the Board when the initial decision was made, and clarification as to whether the staff rep had a vote on this issue. Further, I'd like to know, in detail, the qualifications that each of the board members has in order to be on the board. My recollection is that all you have to do is be a member of OFS and show up to a few board meetings, then you get voted in, where you will stay until you quit (because the board has shown zero backbone to get rid of nonfunctional members). Additionally, I'd like to know whether each board member has any practical experience with being on a board, much less any demonstrable experience or knowledge necessary to run such an organization (legalities around HR or liabilities of operating in such an old disrepaired theater, economics of the industry, proven experience in operating small businesses and/or non-profits, etc). But hey, OFS doesn't hold its volunteers to standards in any capacity, so why would I expect the board to be any different?

Curveball, I'd like to

Curveball, I'd like to answer some of your questions in your post...all very good ones I must say! Maybe you would be interested in joining in the OFS BOD? The OFS current website is crud and has been for a very long time. We have a new site launching in October/Nov. A small budget was approved early this year to get that going; it was the top of my personal wish list the day I was hired (2 years ago). Best source of info for now is the program or the info board in the lobby. "Initial Decision"- define that for me. If you’re referring to the dawn of time in this issue was about 10 years ago, before my time. The termination was a culmination of complaints about behavior over many years. 4 of the 5 board members involved in the final decision were from the “middle/end” process from about 2-4 years ago. Staff collective Rep (that's me) has to stand aside on issues of personnel or issues related directly to the Staff collective Rep. The names of the 5 BOD members needed for quorum...not too sure that I can discuss that since the vote was made in "executive session" which is confidential. Although notes from the public and executive portions of that particular meeting to terminate Jeff Bartone, will be made public at Tues, Sept 11, 5:30pm BOD Meeting at Mixx 96 conff. room. Open to the public with discussion on this topic at the top of the hour. If you cannot make the meeting, we always post final minutes in the lobby at the Theater. Qualifications, in short the current BOD consists of 3 small business owners/general manager types (financial heads, owners, general managers), 4 non profit / state workers, 1 with film background and fundraising skills, and 1 school teacher. Coming to a certain number of meetings is not a qualification, but part of the application process. You must submit in writing what you feel your qualifications are that make you a great candidate for the BOD. At the end of that process, you are interviewed by the BOD in public session with other community members, then you are asked to leave so that the public and BOD can discuss/decide/vote. We're always looking for those who have stellar qualifications, like law, real state, nonprofit/community, marketing, different social and artistic interests, fundraiser experience, and much more...the current BOD has qualifications from being long time volunteers in the Theater, including an ex-Theater Manager, and some are just community members volunteering on the BOD and other committees, some have served on other local boards as well. The operational aspects are left to us, the staff collective collective, which is very experienced in venue, film, admin, community, marketing, HR, technical audio/visual, and maintenance The BOD that existed 4 or so years ago, added a bylaw for the time a person can be on the BOD. Service is minimum one-two years with reapplication and a vote is taken for reinstatement. Reason for this WAS because there were many a time where the BOD was over run with self serving, non assertive, process f**kers....who did not have the ability or foresight to discipline bad behavior on the staff collective collective/board/volunteer! Yes, you are right about that! This current form of the OFS BOD ranges from the strongest members from that generation, meaning the ones who'd been through some of the WORST times of OFS, and stuck it out. And ranges to 3 new board members- the oldest board members is four years old which in OFS years is about 20 years! During the last 2 years, we lost a couple of BOD members who took part in the process. Hmm, holding volunteers accountable…. we talk about it all the time! Any great ideas on how to convince them that following guidelines, and expectations from the organization are good things? The OFS Staff collective and the current Board has been working with an organizational consultant for the last 4 months to bring communications, unity, and better more consistent systemic process to the entire organization. The knowledge that we’ve gained in that short amount of time has brought the BOD and Staff Collective closer to the same working goal and to make OFS a sustaining, positively functional organization. This is the first time in years the OFS BOD has been functional and strong for us, the Staff Collective and I believe the entire organization. Sorry for the delayed response, it’s been a little hectic! I appreciate your asking, and welcome any further dialogue or clarification. Thank you for your interests.
